Workspace settings
Settings holds your own account and preferences, the workspace an administrator manages, and the defaults a blank study starts from; a study that already exists keeps its own values.
Who can open this: Anyone signed in to the workspace
Who this is for
Settings opens from the account menu. Its line is "Your account, your workspace, and the defaults new studies start from." The sections are in three groups: "Personal", "Workspace", and "Defaults for new studies".
Anyone signed in opens the Personal group and the three Defaults pages for their own values. The Workspace group is for administrators, and for a member whose role includes the section: "Policies" needs "Manage policies", and the workspace scope of a Defaults page needs "Manage defaults". A section you cannot open says "Only organization admins can open workspace settings" and "Ask an admin of your organization if you need a change made, or access to one section." The server checks the same permission on every save, not only when the menu is drawn.
A workspace role is not a study seat. A person's role inside one study is set on that study's Study team page; see Roles and access.
Table: the sections, who opens them, and what each one changes.
| Group | Section | Who opens it | What it changes |
|---|---|---|---|
| Personal | Profile | You | Your display name, username, professional title, institution and department |
| Personal | Preferences | You | Theme, text size, time zone, and date and time format |
| Personal | Notifications | You | The digest and the alerts emailed to you |
| Personal | Account & security | You | The sessions signed in to your account |
| Workspace | Workspace details | Administrators | The shared name, logo and time zone, and the consent boilerplate |
| Workspace | Members & roles | Administrators | Who is in the workspace, each person's role and permissions |
| Workspace | Policies | Administrators, "Manage policies" | Rules enforced for every study and every person |
| Workspace | Template library | Administrators | The templates everyone can start a study from |
| Workspace | Studies needing a PI | Administrators | A study whose last principal investigator left |
| Workspace | Email & operations | Administrators | Reports how this deployment sends email; nothing is set here |
| Workspace | Audit log | Administrators | Every change to organization settings, newest first |
| Defaults | Study setup, Consensus rules, Communication defaults | You for your own values; "Manage defaults" for the workspace values | What a study you start blank begins with |
Steps
- Open Profile for how you appear to your team: "How you appear to your team. Panelists see only the study identity you set when you create or edit a study." The username is "Suggested from your email. It is kept the first time you save." and is "3 to 30 characters: lowercase letters, numbers and hyphens."
- Open Preferences for "Theme" (Light, Dark, System), "Text size", "Time zone", and "Date and time format". The format hint says "Round deadlines in your emails and reports are written in this format."
- Open Notifications for "Digest" ("Off: only the alerts ticked below", "Daily summary", or "Weekly summary") and "Send me an alert when". The digest is "One email summarising activity across all your studies."
- Open Account & security to read how you sign in and to end a session. "A link sent to that address each time. There is no password to change or lose." The sessions table is "The devices and browsers signed in to your account. Sign out of any you do not recognise." Deactivating an account is a workspace administrator's action: "To deactivate your account, ask a workspace administrator. Your past work and audit entries stay on record."
- As an administrator, open Workspace details for "Shared information for this workspace. New studies start from it; studies that already exist keep their own." The default time zone is "The starting point for everyone's personal time zone. A person's own choice, under Preferences, wins." The consent boilerplate "Appears under Contact in new consent forms."
- Open Members & roles for "People in this workspace, their role, and the capabilities of each member". A new person signs in "with a link emailed to this address. There is no password." The page says "Admins always have every permission. The settings permissions are checked by the server on every request, not only hidden in the menu. Removing someone ends their sessions; their past work and audit entries stay." You cannot change your own role: "You cannot change your own role. Ask another admin."
- Open Policies for what is "Enforced for every study and every person.": the documents required before a study can launch ("The consent form is always required."), the lowest rating-round thresholds anyone may set ("Studies, templates and personal defaults cannot go below them. They apply to Retain and Exclude, not to the framework-value bands."), "Require equal Retain and Exclude thresholds", and whether to "Offer the CAIR Unified Protocol v4.5 rule set".
- Open Studies needing a PI when a study has lost its last principal investigator: "A study appears here when its last PI is removed or disabled." Choose a "New principal investigator" from the active members.
- Open a Defaults page for your own starting values. Each page says that studies which already exist keep their own, and that "A preset, template or protocol always wins over these". Someone who may manage defaults can switch the same page to the workspace scope, which is "What everyone's "Start blank" fills in until they change it in their own settings." "Use workspace defaults" replaces your own values with the workspace's, "so later workspace changes reach you again. You see the list before anything changes." A reset to the recommended values shows the changes first: "Nothing is saved until you press Save changes."
- Save with the bar at the foot of a form. A form with an error says "Fix the errors marked above to save." Leaving a form with unsaved changes warns "You have 1 unsaved change. Leaving now loses it."
What the app will not do
Settings does not change a study that already exists. Workspace details, the Defaults pages and the Template library say so on the page; a study's own values are on its Setup pages.
Email & operations sets nothing. "These are set where the app is hosted, not here, so this page only reports them. Each line names the setting it reads; a value is never shown."
The audit log "cannot be edited", and the page shows "the latest 100 changes."
A person cannot raise their own role, and a member without the section does not open it, whatever the menu shows.
